Why This Tool Exists

The Problem

Superintendents and project managers spend hours a day on phone calls and site walks, then have to manually retype what was discussed into daily logs, RFIs, and task lists after the fact. Information relayed only verbally is easy to lose or misremember; the vendor cites an industry estimate that construction loses $177B/year to miscommunication, with roughly half of rework tracing back to it.

The Solution

Hardline runs during phone calls and site-walk recordings, transcribes the conversation in real time, and uses AI to extract tasks, decisions, and issues. It auto-generates daily logs, RFI drafts, punch list items, and meeting minutes, and pushes the outputs into Procore, Autodesk Forma, and Fieldwire. The call audio itself is discarded after transcription; only the transcript/summary is kept.

Exactly what this tool uses and how

Input
What it needs
Required:Phone call audio (live), Site-walk or meeting audio (live, in-app recording)
Optional:Photos, Videos
Formats:Live voice/audio via mobile call or in-app recording, Photo/video attachments
Output
What you get
Format:Structured project documentation generated from transcribed conversations
Fields:Daily logs, RFI drafts, Punch list items, Task assignments, Meeting minutes, Searchable conversation transcripts and summaries
Algorithm
How it works
Model:Proprietary speech-to-text and LLM extraction pipeline (specific models not publicly disclosed; privacy policy names AWS, OpenAI, and AssemblyAI as third-party processors)
Accuracy:Vendor claims roughly 98% accuracy "based on customer usage data" (methodology not published)
Privacy
How your data is protected
Retention:Call audio is never stored — it is transcribed in real time, then discarded, retaining only the transcript and summary. Other account data is kept no longer than 3 months after account termination per the privacy notice; older data is deleted, anonymized, or isolated from further processing.
Training:Vendor states it does not use customer conversations or audio to train AI models ("Hardline never uses your conversations to train AI models"; audio is never stored, so it cannot be used for training). De-identified, aggregated data may be used to improve system performance.
Compliance:States the platform is "built SOC 2 ready" — no completed SOC 2 report or audit is publicly available, Claims TLS 1.2+ and AES-256 encryption (vendor-stated, not independently verified)
API
Integration
Endpoint:No public self-serve developer API found; connects to Claude and ChatGPT via MCP (Model Context Protocol)
Method:Not publicly documented
